What does an operations automation rollout look like in practice?

A typical workflow I design for clients in n8n consists of four key stages:

1. Capture: The system monitors a dedicated mailbox, a Google Drive folder or the office scanner. n8n automatically fetches PDF/JPG attachments.

2. Extraction and understanding (OCR + AI): The document goes to an AI node. The model doesn't just read the text — it pulls out specific fields: the issuer's tax ID, sale date, invoice line items, VAT rate. If the document is unreadable, the system automatically sends a Slack notification to an employee.

3. Verification and business logic: n8n checks the data against external databases (e.g. the Polish VAT taxpayer white list). It can also compare the invoice amount with the approved order in your CRM/ERP.

4. Export and action: Successfully verified data goes straight into the accounting software (e.g. wFirma, Comarch ERP Optima via API) or an SQL database. The process ends by archiving the file under a proper name (e.g. `2024-09-25_COMPANY_NAME_INV123.pdf`).
